How to Develop a Photography Workflow that Preserves your Work-Life Balance

I’ve said a million times that perfect work-life balance is a unicorn found in space! But, there is a way to find a little bit of balance with a good workflow! This is my Wedding Photography Workflow!


How to get started finding your workflow?

  • Write down from when you book a client to delivering the gallery! This list may be long and takes time, but it’s 100% worth it!
  • Decide what kind of client experience you want to give! Depending on your business model and how much attention you have to give to your clients.

SEND WELCOME GUIDE & GIFT

I personally LOVE giving gifts to wedding couples! It’s a sweet way to say THANK YOU for inviting us into your story!

Don’t overthink this either! I thought long and hard about what my clients would like. Along with keeping it budget friendly and useful!

I personally think people get enough coffee mugs, but you can never have enough coffee. So I give a pound of my favorite coffee along with a can of bubbly.

Keep the gift brand friendly along with a guide that is information filled!

SEND EMAIL of WEDDING TIPS

This email is filled with tips on how to enjoy the day to the fullest!

  • Why it matters where you get ready
  • What to have ready for your photographer on the day of
  • How to be prepared for a HOT wedding day
  • How to be prepared for a RAINY wedding day
  • Preferred vendors
  • etc…. anything to help them out!

This email is something they can bookmark to go back to anytime they need to! The more information the better!

You can also have links to different blog posts that are helpful for their wedding day!

SEND EMAIL for a 6 MONTH CHECK-IN

This is just a short sweet email asking how things are going, if they need any help, need to vent, etc.

SEND EMAIL for a 2 MONTH CHECK-IN & QUESTIONNAIRE

This email is where I again ask if they need any help, send the link to tips again AND schedule a meeting to chat final details.

Along with this, I send a questionnaire! This questionnaire is filled with questions about their day! It helps us plan a timeline for them, scout out locations for photos and plan an epic experience for them!

SEND TIMELINE TO APPROVE

I send them a sample timeline for them approve! This is also where all the locations of the day will take place.

When it comes to different photo locations on the day of I suggest: Having the address of the day along with a detailed google link from start to finish! This has helped a ton when you have a few cars or a driver taking you places. They can easily click NEXT location, rather than reentering an address.

SEND EXCITED EMAIL 1-4 DAYS BEFORE THE WEDDING

This is where I send a SUPER excited email about their day, with the timeline again. Along, with a list of what they should have ready to be photographed. How to prepare the room. And a reminder to enjoy the day fully, let us worry about the timeline!

A good wedding photography workflow has specific timelines! These help keep you organized and on time!

SHOOT THE WEDDING – YAY!

SEND EMAIL the DAY AFTER or NIGHT of WEDDING

I love to send an email thanking them again for having us, what I loved most about their day. Along with a reminder of when they will receive their photos.

SEND ONE LAST QUESTIONNAIRE

This is where I ask questions about their wedding day, planning up to their day and their favorite memories.

This helps me personalize their blog sneak peek. This way their blog is something that can be relived year after year! It’s also a way for those who couldn’t attend live the day through my couples eyes!

I also ask questions to help future couples out! Real advice from real couples!

  • Advice for future couples
  • Biggest challenge planning the wedding
  • Something they could have lived without
  • etc …

BLOG SNEAK PEEK

This is normally 3-7 days after the wedding day! Depending on if the couple goes on a honeymoon right away. I always ask if they would prefer me to wait until they return.

This blog also has an opportunity for them to win a FREE CANVAS! They just need 20 comments from their loved ones.

Gallery is usually emailed to them 6-8 week after their wedding day! One thing to remember is, under promise and over deliver! Meaning I tell clients 6-8 weeks, but it’s usually 3-4 weeks, depending on the time of year and work load.

I send an email to check in to ensure they can download their gallery, order prints etc.

SEND USB with PRINTS

I order some of my favorite prints form their day to go with their USB. I mail out the USB and prints in a custom wooden box.

ASK FOR REVIEW

I send an email around 4 weeks after the gallery delivery to ask for a review. Reviews help couples find us along with helping us look credible. Clients’ experiences mean the world to us, and the reviews are the best way to thank your photographer!

SEND ANNIVERSARY EMAIL

1 Year after their wedding an automatic email goes out wishing them a Happy Anniversary! I also offer a complimentary Anniversary Session! Because I believe photos of you both need to happy yearly!


This has taken me YEARS to figure out a workflow that works for me! Each photographer is different and once you get a good workflow down you get your life back!
